1. Policy Statement
Collaboration Works (CWorks) is committed to ensuring the health, safety, and wellbeing of all employees, contractors, clients, and visitors. While our team primarily operates remotely, we recognise that every working environment, physical or digital, carries responsibilities and risks that must be managed.
We aim to provide a safe, supportive, and healthy working environment that complies with the Health and Safety at Work Act 1974 and all relevant UK legislation.
2. Scope
This policy applies to:

- All CWorks employees (full-time, part-time, freelance).

- Contractors and collaborators working on behalf of CWorks.

- Clients and stakeholders engaged with our services on-site or remotely.
3. Responsibilities
Senior Leadership is responsible for:

- Ensuring this policy is implemented and reviewed annually.

- Identifying potential risks in remote and project-based work.

- Promoting a culture of wellbeing, safety, and open communication.
All Team Members are responsible for:

- Maintaining a safe and ergonomic home working setup.

- Reporting hazards, injuries, or mental health concerns promptly.

- Following internal safety and wellbeing procedures.
4. Safe Remote Working
CWorks supports remote-first working. To ensure health and safety:

- All staff receive guidance on ergonomic desk setups, including screen height, seating posture, and lighting.

- We encourage regular breaks, screen time management, and walking or stretching routines to prevent fatigue and strain.

- Equipment provided (e.g., laptops, monitors) is PAT tested and compliant with electrical safety standards.

- Risk assessments are offered to team members working from home for extended periods.
5. Mental Health and Wellbeing
CWorks recognises that mental health is as important as physical safety. We:

- Foster a supportive culture through regular check-ins, 1:1s, and anonymous feedback opportunities.

- Encourage open dialogue around stress, burnout, and emotional wellbeing.

- Offer flexible working hours to promote work-life balance.
-
- Signpost resources such as Mind UK, NHS Every Mind Matters, and private counselling where needed.
6. Incident Reporting and Risk Management

- All incidents or concerns, including those related to mental health, should be reported to the line manager or designated Health & Safety Lead.

- Remote work incidents (e.g., physical injury from poor setup) are recorded and investigated in line with our procedures.

- A risk register is maintained and reviewed quarterly.
7. In-Person and On-Site Safety
While most work is virtual, any client site visits or team meet-ups must follow:

- Pre-visit safety briefings.

- COVID-19 precautions (if applicable).
-
- Client-specific health and safety protocols.
-
- Public liability coverage in place for all in-person engagements.
8. Review and Compliance
This policy will be reviewed annually or after any significant organisational or legal change. CWorks will continue to align with best practices and legislation to protect the safety and wellbeing of everyone involved in our work.
